Best Salon Software, Ranked by When You Actually Get Paid

Vagaro, Booksy, Fresha, GlossGenius and Appointments, ranked by the column the other lists skip: when the client pays, whose account the money lands in, and what gets taken out first. Honest, with the rows where we lose.

An off-white studio still life of a hair-colour bench: a fan of aluminium foils, a matte-black tint bowl with a brush and cream colour, and a brushed-steel timer, clustered on the right.

Every "best salon software" list ranks the same way. A grid of checkmarks: online booking, calendar, reminders, marketing, reports. Everyone has all of it, so the grid tells you nothing, and you close the tab no closer to a decision. If you have read three of these, you have read all of them.

Behind the chair, one column actually decides it, and it is the one the checklists skip: when the client pays, whose account the money lands in, and what gets taken out before it reaches you. Rank the best software for a hair salon on that, and the tools that looked identical split apart fast.

Here is the honest read, comparing Vagaro, Booksy, Fresha, GlossGenius and Appointments. Not one winner for everyone. The salon that wants clients to pay at booking, straight into an account it owns, with nothing skimmed, has a clear answer. The salon that needs a front-desk register, or wants an app to bring it strangers, has a different one. This piece tells you which is which, including the rows where we lose.

What the best salon software comparison should rank on: the money

Start with the good news, because it is the part most comparisons get wrong. On the clients you bring in yourself, the rebook after a cut, the referral, the person who found your Instagram, all five of these tools take zero percent of the service price. None of them skims the payment. They earn from a monthly subscription and from card processing, not from a slice of your color work.

So the service cut is a tie. The real differences are three:

  • Whose account the money actually lands in, and whether you own that relationship.
  • How fast it settles, from the moment the client pays to the moment it is in your bank.
  • What it costs when the tool's own marketplace brings you a client, which is a different number from what it costs on your own clients.
Tool Client pays at booking Where the money lands Payout speed Extra cut when its marketplace sends a client
Appointments Yes. The slot confirms only once it is paid Your own Stripe account. You are the merchant of record Stripe's schedule, about two business days in the US, faster if you turn it on None. There is no marketplace
GlossGenius Yes. Deposits or card on file GlossGenius processes it, pays out to your bank Same business day, Monday to Thursday None. There is no marketplace
Vagaro Yes. Deposit or card to hold Vagaro Merchant Services processes it, pays out to your bank Next business day None on marketplace clients
Booksy Yes. Deposit or card on file Booksy Payments, on Stripe, pays out to your bank Next business day, free 30% of a new client's first visit, one time
Fresha Yes. Deposit or card capture Into a Fresha wallet, then out to your bank Next-day payouts A one-time new-client fee

Read the table honestly and two things jump out. Pay-at-booking is not a differentiator: every one of these can require the client to pay, or hold a card, before the chair is booked. And on raw speed we do not win. GlossGenius pays out the same day, the others next day, and Stripe's standard schedule is a couple of business days. If the only thing you are optimizing is how fast cleared money hits the bank, that is a fair point against us, and you can switch on faster Stripe payouts to close most of the gap.

What Appointments does differently is the middle column. The client's card is charged directly on your own Stripe account. You are the merchant of record, the funds sit in your Stripe balance, and the payment relationship is yours. Every other tool here is the payment provider: it collects the money and pays you out from its own rails. That is not a scandal, and for many owners it never matters. It matters the day you want to leave, dispute a chargeback on your own terms, or reconcile against records that belong to you and not to a platform you rent.

Where each of them beats us, plainly

A ranking that only lists our wins is a sales page, not a comparison. Here is where each competitor is the better call.

Booksy, for the salon that wants the app to bring it clients

Booksy's real product is the marketplace. Millions of people open the Booksy app to find and book a barber or stylist near them, and its Boost feature puts your chair in front of them. The price is a one-time 30% of a new client's first visit, and after that first appointment the client is yours at zero. If you are trying to fill new chairs and do not have a client list yet, that 30% can be the cheapest new-client acquisition you will find. We have no marketplace at all, so if discovery is the job, Booksy wins outright.

Booksy's own numbers: $29.99 a month plus $20 per extra staff member, card reader payments at 2.49% + $0.10, and next-business-day payouts.

Fresha, for the salon that lives at the front desk

Fresha pairs a large consumer marketplace with a full point of sale: retail products, inventory with low-stock alerts, the register at the counter. If you sell shampoo and take-home color alongside the service, and you want one screen to ring it all up, Fresha does something we simply do not. It charges a one-time fee on new clients who find you through its marketplace, and it is now a paid subscription rather than the free tool it once was.

Vagaro, for the salon that is really a small business with a register

Vagaro is the deepest all-in-one here: register and POS, retail inventory, payroll with commission tiers, plus a marketplace that, unlike Booksy and Fresha, takes no per-client cut. It is priced per bookable calendar, starting at $23.99 a month and adding $10 per calendar. In-person processing runs 2.6% + $0.10, though online-keyed payments are higher at 3.5% + $0.19. If you want your booking tool, your cash register and your payroll to be one login, Vagaro is built for exactly that. We are not.

GlossGenius, for the solo or small team that wants flat and fast

GlossGenius is the one that pressures us most on the money column itself. Flat 2.6% on every card, lower than Stripe's standard 2.9% + $0.30 online, same-business-day payouts Monday to Thursday, a clean flat subscription that does not change with team size, and real card readers at the counter. No marketplace, so no marketplace cut, same as us. If you are a solo stylist or a small team who wants the lowest simple processing rate and the money in the bank today, GlossGenius has a genuine edge on price and speed. What you do not get is your own merchant account underneath it.

Who should actually pick Appointments

Stated as a boundary, because the honest answer is not "everyone."

Pick Appointments if you already have your clients, they rebook, they refer, they find you on your own channels, and what you want is for them to pay at the moment they book, straight into your own Stripe account, with the platform taking 0% and you sitting as the merchant of record. Add a team and it holds up: team calendars, roles from owner down to professional, and per-professional commissions on the Business plan, up to 20 people. The booking is not confirmed until the payment clears, so a held slot is a paid slot, and the money is in an account that is yours to keep.

Do not pick Appointments if you need a built-in register at the front desk to sell retail and ring up walk-ins. We are not a POS, and Vagaro, Fresha or GlossGenius will serve you better. And do not pick it if you are counting on the software to bring you clients you do not already have. We have no marketplace, and Booksy or Fresha is where that foot traffic lives.

We are the tool for the salon that owns its clients and wants to own its money. Not the register, not the marketplace. If that is the salon you run, the trial is free for 30 days and does not ask for a card.

If you want to compare salon booking tools on the mechanics before you commit, we have written up how a booking is held and confirmed only after it is paid, and how to tell scheduling tools apart before you sign up.
